About Us:
Harland Mechanical Services is a growing plumbing & HVAC company providing residential and light commercial service calls across the five boroughs, including the Westchester area. We pride ourselves on fast, reliable service and professional workmanship. We’re looking for an organized, detail-oriented Office Manager / Dispatcher to help run the day-to-day operations from the office.Responsibilities:
• Answer and return customer calls in a professional manner
• Schedule service appointments and dispatch technicians efficiently
• Process upfront payments through Square/Stripe and maintain daily payment logs
• Manage customer communications (texts, confirmations, follow-ups, reviews)
• Create and track invoices, receipts, and service agreements
• Order materials and maintain inventory records
• Assist with permits, warranty claims, and other admin tasks as needed
Requirements:
• Prior office admin or dispatch experience (plumbing, HVAC, electrical, or construction office preferred)
• Strong communication and customer service skills
• Ability to multitask and stay organized under pressure
• Proficiency with scheduling software, QuickBooks, or similar tools (training provided)
• Comfortable using phone, email, and text platforms for customer service
Compensation & Benefits:
• Competitive pay based on experience
• Full-time (Mon–Fri, 8am–5pm) with potential for overtime during peak seasons

The hourly rate commensurate with experience, between $22-$30
