The Opportunity
 
Fast-paced NYC general contractor specializing in high-end commercial spaces, luxury hospitality, and custom residential renovations. We are seeking an experienced Office Administrator who is eager to learn, adapt, and develop long-term within our company. Working directly out of our Long Island City office, you will serve as the administrative backbone of our operations, collaborating closely with our leadership to keep our active projects organized and on track
.
How You Will Make an Impact
  • Maintain accurate, organized project records and detailed job costing reports.
  • Schedule and coordinate subcontractors, executing consistent follow-ups to maintain tight project timelines.
  • Liaise daily with the company president to provide real-time updates on active projects.
  • Source and order construction materials to ensure on-site teams have the supplies they need.
  • Verify that all subcontractor and project insurance policies are valid, compliant, and up to date.
  • Prepare comprehensive project proposals, estimates, and change orders.
  • Manage accounts receivable (AR) and accounts payable (AP) data entry and tracking for all ongoing projects.
  • Coordinate and schedule site visits, client walkthroughs, and team meetings.
 
Required Qualifications & Experience
  • Minimum of 3–5+ years of administrative experience strictly within the construction industry.
  • Strong proficiency with Microsoft Office Apps (Word, Excel, Outlook).
  • Excellent punctuality, time management, and organizational skills.
  • Proven ability to work independently with minimal oversight while collaborating smoothly within a close team.
  • A proactive mindset with a strong desire to learn, adapt, and grow professionally within a expanding company.
 
Preferred Qualifications & Experience
  • Hands-on experience using QuickBooks for construction bookkeeping, AP/AR, or job costing.
  • Familiarity with digital construction project management platforms (such as JobTread).
