POSITION OVERVIEW
We are seeking an experienced, client-facing Project Manager / Estimator to lead the full lifecycle of construction projects — from preconstruction and estimating through final closeout.
The successful candidate will have direct accountability for project schedule, budget, subcontractor performance, regulatory compliance, and client satisfaction — while simultaneously
producing accurate, competitive, and well-documented estimates for new pursuits. Regular on-site presence at active project locations throughout the New York metropolitan area is required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following describes the core functions of this position.
Project Management
- Manage all project phases from Notice to Proceed (NTP) through final closeout.
- Serve as the primary owner-facing representative on assigned projects.
- Develop, baseline, and maintain CPM project schedules in MS Project or Primavera P6; monitor critical path, identify schedule risks, and implement recovery plans as required.
- Manage project financials: budget tracking, cost-to-complete forecasting, subcontractor pay application review, change order pricing and negotiation, and monthly owner billing.
- Direct and coordinate subcontractor and supplier activities on-site; enforce contract scope, quality standards, safety compliance, and schedule adherence.
- Ensure full compliance with all applicable city and state building codes.
- Lead Infection Control Risk Assessment (ICRA) and Interim Life Safety Measures (ILSM) planning and enforcement on all healthcare projects.
- Coordinate with clinical operations, facilities management, and infection control departments to plan and execute phased construction in occupied healthcare environments with zero impact to patient care or clinical operations.
- Manage document control: distribute drawing revisions, maintain RFI logs, submittal logs, and change order logs using Procore or equivalent construction management software.
- Conduct regular site inspections to verify quality of work, safety conditions, and schedule compliance; document field observations with written reports and photographs.
- Oversee project closeout: coordinate regulatory inspections and sign-offs, compile O&M manuals and warranty packages, obtain certificates of occupancy or equivalent, and deliver final close-out documentation to the owner.
- Maintain strict confidentiality with respect to client operations, patient-sensitive environments, and proprietary project information.
Estimating and Preconstruction
- Conduct thorough drawing, specification, and document review during the bid phase; identify scope gaps, conflicts, or ambiguities; issue RFIs to design teams on behalf of the company.
- Develop and maintain trade-specific unit cost databases, historical cost benchmarks, and bid comparison matrices.
- Prepare bid leveling analyses across multiple subcontractor proposals; present findings and recommendations to ownership with written summary documentation.
- Collaborate with ownership on value engineering, constructability review, and scope definition during preconstruction.
- Prepare and submit prequalification packages, bid bonds, and project-specific procurement documentation as required.
- Maintain records of bid results, win/loss ratios, and market pricing trends to continuously refine estimating accuracy.
Administrative and Compliance
- Maintain organized, complete project files — digital and physical — in accordance with company document control standards and client requirements.
- Prepare and distribute weekly project status reports, cost forecasts, and look-ahead schedules to ownership and clients.
- Ensure timely execution and tracking of all subcontractor and supplier contracts, insurance certificates, certified payrolls (where applicable), and compliance documents.
- Participate actively in the company safety program per OSHA 29 CFR 1926 requirements.
QUALIFICATIONS
Required
- Minimum 5 years of construction project management and/or estimating experience, with a demonstrated track record in healthcare, institutional, or MEP-heavy commercial renovation.
- Direct, hands-on experience managing renovation projects in active healthcare facilities (acute care hospitals, ambulatory surgery centers, medical offices) with full ICRA/ILSM compliance responsibility.
- Thorough working knowledge of the NYC Building Code, NYC DOB filing requirements, FDNY regulations (including fire alarm and sprinkler coordination), and OSHA construction safety standards (29 CFR 1926).
- Proficiency in MS Project or Primavera P6 for CPM scheduling.
- Proficiency in Procore or equivalent construction management software.
- Proficiency in Microsoft Office Suite; strong written and verbal communication skills in English.
- Demonstrated ability to read and interpret full construction document sets across all disciplines: architectural, structural, MEP, fire protection, and civil.
- Experience coordinating multiple trades simultaneously on active, phased construction projects.
- Valid driver’s license.
Preferred
- Project Management Professional (PMP) certification (PMI).
- OSHA-30 Hour Construction Safety certification.
- Experience working within a major health system construction portfolio (e.g., Mount Sinai Health System, NYU Langone, New York-Presbyterian, Northwell Health).
- Familiarity with Joint Commission Environment of Care standards and health system-specific construction compliance programs.
- Multi-trade estimating experience spanning mechanical, electrical, plumbing, fire alarm, sprinkler, architectural, and civil scopes.
- Experience with NYC special inspection programs, Landmarks Preservation Commission (LPC) requirements, or DOB NOW filings.
- Bachelor’s or Master’s degree in Construction Management, Civil Engineering, Mechanical Engineering, or a closely related field.
- Bilingual (English/Spanish) a plus.
COMPENSATION AND BENEFITS
In compliance with the New York State Pay Transparency Law, the expected base salary range for this position is:
$100,000 – $200,000 per year, depending on qualifications and experience
This range reflects base salary only and does not include performance bonuses, project incentives, or other compensation elements that may be available. Final compensation will be determined through the interview and offer process.
