Administrative Assistant – Cosan Construction Mt. Vernon, NY
Cosan Construction is seeking a reliable and detail-oriented Administrative Assistant to support daily office operations in a fast-paced construction environment. This role plays a key part in keeping projects running smoothly and ensuring all documentation is organized and up to date.
Responsibilities:
• Assist with day-to-day office operations, including phones, mail, and supplies
• Assist with job costing and tracking credit card expenses
• Manage and track Certificates of Insurance (COIs) for projects
• Follow up with vendors and subcontractors to ensure insurance compliance
• Assist with project documentation, billing, and general administrative tasks
• Communicate with vendors, clients, and internal teams
Qualifications:
• Strong organizational and multitasking skills
• Excellent communication skills
• Proficiency in Microsoft Office (Excel, Word, Outlook)
• Proficiency in QuickBooks and/or Foundations software
• Experience with COIs, insurance tracking (e.g., DocuTrax), or construction administration preferred
• Construction industry experience is a plus
Schedule & Work Environment:
• Monday to Friday, 8:00 AM – 4:00 PM
• Full-time, in-office position (Mount Vernon, NY)
• Fast-paced office environment supporting active construction projects
Compensation & Benefits:
• Salary: $47,000 – $65,000 (negotiable based on experience)
