Job Opportunity – Administrative Assistant @ Anthony G Ferry Inc
Salary Range: $48,000.00 – $60,000.00 annually (based on experience and qualification)
About the Role:
We are seeking a proactive, highly organized, and detail-oriented Administrative Assistant to provide day-to-day administrative, coordination, and operational support.
This role is entry-level and ideal for someone who thrives in a fast-paced environment, excels at multitasking, and enjoys being the central point of coordination between people, schedules, and information.
Key Responsibilities:
Administrative & Organizational Support:
- Provide comprehensive administrative support, including scheduling, calendar management, correspondence, and document preparation.
- Assist with planning, tracking, and coordinating tasks and initiatives from start to completion.
- Maintain organized digital filing systems and ensure accurate documentation and record-keeping.
- Prepare reports, summaries, and presentations as needed.
Project Documentation:
- Create and manage shop drawings and submittals using construction management software.
- Maintain digital job folders and documentation.
Communication & Coordination:
- Collaborate extensively with the in-house management and engineering teams.
- Attend and contribute to project meetings, both internal and external.
- Be proactive in identifying and resolving project-related issues.
- Help improve administrative processes and organizational systems for greater efficiency.
- Ensure consistency and accuracy across documentation and communications.
Material Management:
- Identify and track materials needed for projects to ensure project budgets are met.
Desired Experience and Qualifications:
- Bachelor’s degree in Construction Management or a related field preferred but not required.
- Entry-level position; 1–3 years of experience in an administrative, personal assistant, coordinator, or support role is a plus.
- Strong proficiency in MS Office Suite (Outlook, Excel, Word).
- Excellent organizational skills with strong attention to detail.
- Ability to manage multiple tasks, prioritize effectively, and work independently.
- Strong written and verbal communication skills.
- Experience in the industrial electrical field is a plus.
- Experience in relevant construction software (Procore, Autodesk, QuickBooks) is a plus.
